The South Eastern Rheumatology Fellows (SERFS) Annual Symposium, October 14th – 18th, 2026.
SERFS Terms and Conditions
These Terms and Conditions govern use of goserfs.com and participation in activities offered by the Southeastern Rheumatology Fellows Symposium ("SERFS," "we," "us," or "our") where these terms are presented and accepted. Please read them before registering, submitting materials, or completing another transaction with SERFS.
1 Agreement and Additional Terms
By affirmatively accepting these terms during registration, submission, or another process that presents them, you agree to follow them. If acting for an organization, you confirm that you have authority to do so. If you do not agree, do not complete that process.
An event, sponsorship, exhibitor arrangement, reimbursement program, or competition may have additional terms provided when you apply or participate. A separately signed agreement controls over these general terms where they conflict. Other specific terms accepted for an activity control on the subject they address, subject to applicable law.
2 Educational Purpose
SERFS provides professional education and networking. Website content, presentations, clinical images, case reports, and discussions are educational and do not provide individual medical advice or establish a clinician-patient relationship with SERFS. Healthcare professionals remain responsible for independent clinical judgment, current evidence, and appropriate patient care.
Speaker and sponsor opinions are their own and do not necessarily reflect SERFS positions. References to a product or organization do not constitute an endorsement. Continuing education credit is available only if expressly stated for the specific activity and subject to its stated requirements.
3 Appropriate Website Use
You may use the website for lawful informational and professional purposes. You must not impersonate others, submit false information, infringe intellectual property or privacy rights, introduce malicious code, attempt unauthorized access, or interfere with website operations. Do not harvest personal contact information for unsolicited communications or bypass access restrictions. Any permitted use of an attendee list is governed by the applicable agreement and law.
4 Registration and Payment
Provide accurate contact, professional, and payment information and promptly notify us of material changes. Participation is subject to the stated eligibility criteria, capacity, deadlines, and confirmation from SERFS. An inquiry or waitlist request does not guarantee admission, funding, a hotel room, or a sponsorship benefit.
Fees, inclusions, payment deadlines, and any processing charges will be identified in the applicable registration materials or agreement. You are responsible for approved charges and must have authority to use the payment method provided. Registration transfers or substitutions require SERFS approval under the applicable registration terms.
5 Cancellations and Event Changes
Send cancellation requests in writing to info@goserfs.com or the contact specified in your agreement. Refund eligibility, cancellation deadlines, credits, and any fees are governed by the specific terms disclosed and accepted for your registration or sponsorship, together with applicable law. Sponsor and exhibitor cancellation rules do not automatically apply to other attendees.
SERFS may change speakers, schedules, formats, or locations when reasonably necessary. If an event is canceled, postponed, or materially changed, we will communicate the available arrangements and any refund or credit rights under the applicable agreement and law. Events beyond reasonable control, such as severe weather, venue closure, or government restrictions, may affect delivery. These terms do not eliminate refund rights or excuse obligations that cannot lawfully be excluded.
6 Travel Accommodations and Reimbursements
Scholarships, travel support, hotel arrangements, and reimbursements are subject to the eligibility criteria, approvals, limits, and documentation requirements stated for the relevant program. Obtain required advance approval before incurring an expense. Submit accurate claims, receipts, and requested tax documentation within the applicable deadlines.
Do not assume that registration covers every travel or incidental expense. Bookings made directly with airlines, hotels, or other providers are subject to their terms. Any arrangements or financial commitments made by SERFS are governed by the written confirmation and applicable program terms.
7 Sponsors and Exhibitors
Sponsors and exhibitors must follow their accepted agreement or prospectus, applicable venue rules, and SERFS instructions for displays and sanctioned activities. Sponsorship does not guarantee sales, referrals, a particular attendance level, or endorsement. Use of SERFS names, logos, or other branding requires written permission except where applicable law permits otherwise. Any attendee information provided must be handled consistently with the applicable agreement, privacy notices, and law.
8 Intellectual Property
Website text, graphics, logos, presentations, and other materials belong to SERFS or their respective owners and are protected by applicable intellectual property laws. You may view materials and use downloads for personal professional reference where made available for that purpose. This permission does not authorize commercial republication, redistribution, or removal of ownership notices. Obtain the rights holder's permission for other uses unless the law permits the use without permission.
9 Educational Submissions
You retain ownership of materials you submit. You confirm that you have the rights and permissions needed to submit them, including any required coauthor, institutional, copyright, and patient permissions. Remove patient identifiers and follow the submission instructions. Do not send identifiable patient information through a general contact form.
By accepting these terms when submitting materials, you grant SERFS a nonexclusive, royalty-free license to copy, format, review, and display them as reasonably needed to administer and deliver the activity for which they were submitted. Formatting will not change substantive clinical meaning. Broader publication, recording, or promotional use requires permission covering that use. Submission does not guarantee acceptance, display, an award, or publication; applicable competition rules govern selection.
10 Conduct and Recording
Participants must treat others respectfully and follow reasonable safety and venue instructions. Harassment, threats, discrimination, disruptive behavior, and unauthorized solicitation are prohibited. SERFS may restrict access or remove a participant when reasonably necessary to address a violation or safety concern. Any related refund question remains subject to applicable terms and law.
Recording presentations or photographing clinical materials requires the necessary permissions from SERFS and the relevant rights holders. Any SERFS photography or recording of attendees will be addressed through appropriate notices and permissions. These general terms do not grant an unrestricted marketing release of an attendee's image or voice.
11 Privacy and External Services
Our Privacy Policy explains how we handle personal information, including registrations, communications, and sponsor attendee lists. Acceptance of these terms does not replace a separate consent required for a particular use of personal information or for marketing.
Links to hotels, sponsors, payment services, or other external resources are provided for convenience. Those providers are responsible for their own services and terms. Review their policies before making a purchase or sharing information.
12 Website Availability and Liability
We aim to maintain accurate information and a functioning website, but errors or interruptions may occur. To the extent permitted by law, website information is provided "as is" and "as available," without implied warranties of accuracy, completeness, or fitness for a particular purpose. This provision does not limit an express commitment in an accepted agreement.
To the extent permitted by law, SERFS is not liable for indirect or consequential losses, including lost profits, arising from website use or event participation. Nothing in these terms excludes liability for fraud, willful misconduct, gross negligence, or any liability or statutory right that cannot lawfully be excluded or limited. Specific signed agreements may contain additional provisions applicable to their subject matter.
13 Governing Law and Changes
These terms are governed by Florida law and applicable federal law, subject to any mandatory protections that apply to you. If a provision is unenforceable, the remaining provisions continue to apply to the extent permitted by law.
We may update these terms and will identify the effective date of the revised version. Changes will apply prospectively, with notice and acceptance where required. Posting an update does not by itself amend an existing signed agreement or remove rights associated with a completed transaction. Contact us with questions or concerns about these terms.
